Privacy Policy
This policy explains how the SmartCBWTF platform and Android application process information.
Effective 1 August 2026
Information we process
Account and profile information supplied by you or your organisation, such as your name, username, contact details, role, facility, and staff identifiers.
Precise location and location accuracy during operational activities. While you remain signed in, this can be collected when the app is closed or not in use; Android displays a persistent notification while tracking is active.
Operational activity such as attendance, routes, healthcare-facility visits, QR scans, bag events, weights, timestamps, and synchronisation status.
Documents, photos, and registration details that you choose to submit for authorised workflows.
App version, device model, Android version, connectivity state, diagnostics, and crash information needed to keep the service secure and reliable.
A random app-scoped device identifier used to associate attendance and waste-handling events with the app installation that recorded them.
Authentication tokens and security state needed to maintain your signed-in session. SmartCBWTF does not store your plaintext password on the device.
How we use information
We use this information to provide biomedical-waste collection, verification, attendance, route, compliance, and facility-management functions; authenticate users; prevent misuse; synchronise offline work; support users; and diagnose failures.
Location is used only for authorised operational and compliance purposes. We do not use personal data for advertising, and we do not sell personal data.
Sharing and service providers
Information is available to the organisation that provisioned or manages your SmartCBWTF account and to authorised personnel based on their roles.
We may use infrastructure, communications, diagnostics, and support providers that process information only to deliver the service. We may also disclose information when required by law or to protect users, the public, or the integrity of the service.
Security and retention
Data is encrypted in transit. Authentication and local configuration data use protected device storage, app backups are disabled, and access to server data is role scoped.
Operational records are retained for the period required by the customer organisation, applicable biomedical-waste and other legal obligations, security needs, and legitimate audit requirements. Diagnostic data is retained only as long as reasonably needed to investigate and prevent failures.
Your choices and rights
You may deny or revoke camera, Bluetooth, notification, and location access in Android Settings. Precise and background location access is required for the signed-in operational app, so access remains locked until those permissions are restored. Location tracking stops when you sign out or revoke location access.
To request access or correction, contact your organisation's SmartCBWTF administrator or email [email protected]. Account and data deletion requests can be made through our dedicated deletion-request page. Some records may need to be retained for legal, regulatory, safety, or audit reasons.
Children and policy updates
SmartCBWTF is an authorised workforce and business application and is not directed to children. We may update this policy as the service or legal requirements change; the effective date above will be revised when we do.
